
Recording Your AZEVN Presentation
Thank you for agreeing to create a presentation for an AZEVN Event.
We would love you to record your talk, in addition to presenting it in-person. This enables the video to be used on our website or at a future AZEVN Event and as a result, reach a wider member audience.
There are many ways that you can choose to record your presentation so that it includes audio. We suggest recording in PowerPoint as it allows you edit individual slides rather than having to re-record the whole presentation.
However below are 3 main ways that you can record your audio.. Happy Reading..!!
Microsoft PowerPoint (.ppt) - (Preferred Option)
- Open your Powerpoint presentation.
- Click ‘slide show’ in top bar.
- Click ‘record slide show’.
- Choose to start recording at the beginning, or from current slide if re-recording one slide.
- This will open your slide show and is now recording, you will see a task bar at the top with timings and other options.
- Record your audio over your presentation. You can use the ‘pause’ button at any time.
- Do a test recording of the first few slides as a practice run. Then listen back to check the sound quality.
- Once you have finished recording click the ‘cross’ button on the recording task bar.
- This returns you to your presentation. Please check all the audio has recorded as you want it and it is of the required time length.
- If you want to re-record a slide, delete the ‘audio’ icon on the specific slide and then re-record. Do not choose to re-record ALL audio otherwise you will have to do the whole lot again!
- Save your presentation with audio as a ppt file.
- Then go to ‘file – export – create a video’ to save your file as an MPEG4 file.
You will need to send both the ppt with audio file and the MP4 file to us via the ‘Upload your presentation/ poster‘ button below..
Zoom Video Call
- Open you Powerpoint presentation. Then minimise this screen.
- Sign into and start a Zoom meeting as the host. Please note, you will be in a meeting with yourself.
- Make sure video is OFF (otherwise this occludes part of the presentation).
- Make sure your microphone is ON.
- Click on ‘share screen’ and choose your presentation and click ‘share’.
- Go to the ppt ‘slide show’ tab and click ‘from beginning’.
- Go to the Zoom task bar and click ‘the three dots’ to see more.
- Click ‘record’ and you will hear “recording in progress”.
- Record the audio for your presentation. You can pause the recording at any time.
- Do a test recording of the first few slides as a practice run. Then listen back to check the sound quality.
- Once finished, click ‘stop recording’. You will hear “recording stopped”.
- Click ‘end meeting’ and you will see a pop up box informing you the recording is being saved.
- There will be 3 files – audio only, playback and zoom. Please save ALL 3 files.
- You will need to send both the ppt with audio file and the Zoom files to us via the ‘Upload your presentation/ poster‘ button below..
Microsoft Teams Video Call
- Open your PowerPoint (ppt) presentation so you are ready to share this on your screen.
- Minimise the presentation.
- Open MS Teams.
- Go to your calendar, click ‘meet now’.
- A box will pop up with a ‘join now’ option, tick your preferred options (please make sure you do NOT include the video of yourself as this occludes part of the presentation).
- Click ‘join now’ when you are ready to start. Please note, you will be in a meeting with yourself.
- Click the ‘three dots’ in the toolbar for more options.
- Click ‘start recording’. A little dot with a timer on it will appear to show you are recording.
- Click the ‘share content’ icon in the task bar.
- Navigate to your ppt presentation. This should have a red line around the screen to show you are recording.
- Do a test recording of the first few slides as a practice run. Then listen back to check the sound quality.
- Start the actual recording.
- When you have finished, click ‘leave’
- Once you have completed your talk you will get a message in your chat window with the recording.
- Download and save this recording immediately as it will expire!
- You will need to send both the ppt with audio file and the MS Teams file to us the ‘Upload your presentation/ poster‘ button below..
